Required Submissions:

  1. Registration:
    Complete the "Intent to Exhibit form" to notify us of your company's intent to exhibit.
    • We strongly advise submitting the form before .
  2. Confirmation:
    Your company's participation is confirmed upon receipt of the signed Letter of Agreement (LOA).
    • The required Letter of Agreement (LOA) form will be sent via DocuSign within a few business days after you send the completed "Intent to Exhibit form.” Please complete the LOA form and return by .
    • A counter-signed copy of the agreement will be sent back to the contacts noted on the "Intent to Exhibit form" as initial confirmation of your exhibit space.
  3. Payment:
    Payment is due by 12/04/2026.
    • Payment should be submitted after the fully executed agreement is completed.
    • Along with the counter-signed agreement, you will also receive login information in order to make an online payment (the payment portal is located on this page under the register tab). Instructions may be requested for payment by check by Email.

Exhibit Space Cancellations:
Cancellations must be received in writing at least ten business days prior to the start of the course. If a cancellation is received after this time, no refund will be provided.

    • All exhibitors and sponsors must comply with UT Southwestern Medical Center policies and ACCME Standards for Integrity and Independence in Accredited Continuing Education.
    • Exhibits, marketing, and nonaccredited activities must remain separate from the accredited education and may not influence the content, faculty, learner assessment, or credit process.
    • Attendee lists will not be provided. Learner names or contact information will not be shared without the explicit consent of the individual learner.
    • Exhibitors may discuss products and services in their assigned exhibit space and may provide approved educational material about their products or services.
    • Giveaway items, gifts, entertainment, and on-site sales are not permitted unless explicitly approved under applicable institutional policy.
    • Representatives who wish to attend educational sessions and receive credit must register separately as learners, when registration is available and appropriate.
    • Exhibit space is assigned at the discretion of UT Southwestern Medical Center with consideration of timing, relevance, suitability, space constraints, and receipt of required documentation and payment.
    • Any activity outside the assigned exhibit area or outside approved exhibit times requires advance written approval.
    • UT Southwestern Medical Center reserves the right to decline, restrict, relocate, or discontinue any exhibit or activity that is not appropriate for the educational, professional, compliance, or operational needs of the conference.
